The standard is that all meetings will happen over Zoom, unless otherwise communicated explicitly. Meetings, by no means, should be restrictive for employees who are remote and not at a hub — the option to Zoom into a meeting should always be available.
Below are some specific callouts:
- Every person is expected to dial in and be an independent box on the screen. People in the same room will likely share audio (and should buy a conference microphone to use if many folks are sharing). The only reason why people may share a single Zoom screen box is if there are technical difficulties holding up a meeting from starting.
- If you are in a meeting room with built in VTC systems, please use the built-in audio and shared camera, but also individuals should call in independently as well.
- If you are sharing audio and Zooming into a call with others in the same room, please restrict live sidebar conversations. These conversations usually negatively impact the communication flow of the meeting and other participants will likely not hear the conversation.
